Format of Report Writing Sample Class 12 and 11

INTRODUCTION of Report Writing:-

A report is a first-hand factual description or account of an event, or an investigation of a problem or an issue by an individual. It can be pre-planned or unexpected. It can be an objective analysis of something.

एक रिपोर्ट किसी घटना का प्रत्यक्ष तथ्यात्मक विवरण या लेखा-जोखा है, या किसी व्यक्ति द्वारा किसी समस्या या मुद्दे की जांच है। यह पूर्व नियोजित या अप्रत्याशित हो सकता है. यह किसी चीज़ का वस्तुनिष्ठ विश्लेषण हो सकता है।

Objectives of Report Writing:-

  • A report is meant to inform.
  • A report describes an event.
  • A report can be a record of some survey or an annual meeting of some institution or department.
  • A report can be an appeal, to persuade people to follow some rules.

WHILE WRITING A REPORT:- (रिपोर्ट लिखते समय:-)

  • Be factual and do not add any information on your own that may seen as fictitious
  • (तथ्यपरक रहें और अपनी ओर से ऐसी कोई भी जानकारी न जोड़ें जो काल्पनिक लगे।)
  • Write in indirect speech and preferably in passive voice.
  • Write in the third person form and avoid using pronouns like I, me or you.
  • (3rd person pronoun के रूप में लिखें और I, me, and you जैसे pronoun के उपयोग करने से बचें।)
  • Avoid imposing your personal opinions and do not make any conclusions.
  • (अपनी निजी राय थोपने से बचें और कोई निष्कर्ष न निकालें।)
  • Answer the questions to “when”, “where’, ‘why’, ‘what’, ‘who’ and ‘how’.

Format of A Report Writing

  • Headline
  • Byline (Name of the reporter)
  • Opening paragraph
  • Details (Next two paragraphs)
  • Conclusive statement (It can either be a summary of the whole situation, a conclusion, condemnation, appeal or warning)

Type 2 :- Reports on Events/Functions or Magazine Reports

  • Type of function or its name
  • Date, time, and place
  • Objective and main highlight of the programme
  • Description of the event
  •  Prize distribution (if any)
  • Conclusion
  •  Comments about the quality of the programme
  • Occasion
  • Name/ Designation of the Chief Guest
  • Inauguration (if any)
  •  Chief Guest’s address to the audience
  • Vote of thanks
  • Contribution of the writer (if any)

Content of Report Writing

• The first few lines of the report should contain a lot of information and answer What? When? Why? Who? kind of questions.

(रिपोर्ट की पहली कुछ पंक्तियों में बहुत सारी जानकारी होनी चाहिए और उत्तर क्या होना चाहिए? कब? क्यों? कौन? तरह-तरह के सवाल)

• The report should look like the result of having talked to a cross-section of people, e.g., police, hospital authorities, eyewitnesses, etc.

(रिपोर्ट को विभिन्न वर्गों के लोगों, जैसे पुलिस, अस्पताल प्राधिकारियों, प्रत्यक्षदर्शियों आदि से बात करने के परिणाम की तरह दिखनी चाहिए)

 The first few lines should give the date of the happening or event.

(पहली कुछ पंक्तियों में घटित होने वाली घटना की तारीख बतानी चाहिए।)

• The next paragraphs should give the details of the deliberations, observations made, the facts that emerged and the role of the people involved.

(अगले पैराग्राफ में विचार-विमर्श, की गई टिप्पणियों, उभरे तथ्यों और इसमें शामिल लोगों की भूमिका का विवरण दिया जाना चाहिए।)

• If the report is about a workshop or a seminar, then the number of participants and the objective of the workshop should be stated in the beginning.

(यदि रिपोर्ट किसी कार्यशाला या सेमिनार के बारे में है, तो शुरुआत में प्रतिभागियों की संख्या और कार्यशाला का उद्देश्य बताया जाना चाहिए।)

• The final paragraph recounts the suggestions or recommendations made that may be useful in solving the problem.

(यदि रिपोर्ट किसी कार्यशाला या सेमिनार के बारे में है, तो शुरुआत में प्रतिभागियों की संख्या और कार्यशाला का उद्देश्य बताया जाना चाहिए।)

• The ending is not the end of the event, it is rather a looking forward, a beginning of problem-solving time.
